9 Best Onboarding Checklist Software for SaaS

9 Best Onboarding Checklist Software for SaaS

The quick answer

Quick answer: for a no-code onboarding checklist inside a SaaS product, Userpilot (from $299 a month for 2,000 MAUs, checklists on every plan) and Userflow (Essentials from $240 a month billed annually for 1,000 MAUs, with unlimited checklists) are the most direct choices. Appcues includes checklists in every plan and sells a Spark plan at $3,600 a year for small teams. UserGuiding and Product Fruits are the budget picks, but watch their checklist limits: UserGuiding Starter allows one active checklist and Product Fruits Starter allows two. Chameleon suits design-heavy teams, Fullstory sells checklists inside its Guides and Surveys add-on, Gainsight PX fits teams already on Gainsight, and PLG OS offers a get-started guide and a quest list as SDK components. Prices are as of October 2026, checked on each vendor's own site.

What onboarding checklist software does

An onboarding checklist is a short list of setup tasks that sits inside your product, usually in a corner widget or an empty dashboard, and ticks itself off as the user completes each step. Good checklist software does four things well:

  • Completion from real events: a task should complete when the user actually does the thing (creates a project, invites a teammate), not when they click "done".
  • Targeting: admins, end users and trial accounts need different lists.
  • Launching help from a task: each item can open a tour, a tooltip or a help article that shows how to finish it.
  • Reporting: you can see completion per task, so you know which step people skip.

A checklist only works when its tasks lead to your activation event. Our user onboarding checklist template walks through defining that event first and writing tasks backwards from it, and our guide to using onboarding checklists covers the common patterns.

1. Userpilot

Who it is for: product teams that want checklists, tours and the analytics to measure them in the same tool.

Pricing: Starter is $299 a month for up to 2,000 monthly active users. Growth starts at $849 a month and adds advanced product analytics, event autocapture, a resource center and advanced surveys. Enterprise is quoted. Source: Userpilot pricing.

Strengths: checklists are listed under user engagement on every plan, next to flows, spotlights, banners and embeds. Starter includes segmentation (up to 10 segments) and NPS surveys.

Limits: funnel and path reports, which tell you where users drop off between checklist tasks, are not on Starter.

2. Userflow

Who it is for: SaaS teams with a smaller active user base that want unlimited checklists without paying for a large MAU tier.

Pricing: Essentials is $300 a month billed monthly or $240 a month billed annually, and Studio is $500 a month or $400 a month billed annually. Both include 1,000 MAUs, and extra MAUs are billed in blocks of 1,000. Both plans come with a 14-day free trial. Source: Userflow pricing.

Strengths: Essentials includes unlimited experiences (flows, tours, checklists, tooltips and announcements), unlimited team members and two environments for testing. Studio adds an in-app help hub and 500 AI credits a month for its Adoption Agent.

Limits: Userflow renamed its plans to Essentials and Studio in October 2026, so older reviews quote different plan names and prices. Above 100,000 MAUs, pricing moves to sales.

3. Appcues

Who it is for: teams that want checklists alongside modals, tooltips, banners and surveys, with implementation help included.

Pricing: Start covers up to 3,000 MAUs with 10 published experiences, Grow starts at 3,000 MAUs with 25, and Enterprise is custom; Appcues quotes all three. The Spark plan for teams of 25 or fewer is $3,600 a year for up to 1,000 MAUs plus a one-time $250 implementation fee. Sources: Appcues pricing and the Spark plan.

Strengths: every plan includes every experience type, feature and integration, including checklists. Spark adds guided onboarding to get the first flow live and lets you try email for up to 1,000 emails.

Limits: published experiences are capped per plan (10 on Spark and Start), and a checklist counts toward that cap.

4. UserGuiding

Who it is for: early-stage SaaS teams that want onboarding, a knowledge base and product updates in one budget tool.

Pricing: Starter is $2,988 a year and Growth $5,988 a year, both billed yearly and starting from 2,000 MAUs; Enterprise is custom. There is a 14-day free trial. Source: UserGuiding pricing.

Strengths: guides, hotspots, surveys, NPS, a resource center and banners are included, and Starter lists AI features in beta.

Limits: Starter allows one active checklist and Growth five; unlimited checklists need Enterprise. If you plan separate lists for admins and end users, that rules out Starter.

5. Product Fruits

Who it is for: startups that want checklists, tours, a help center and a feedback widget at a low monthly price.

Pricing: Starter is $111 a month billed annually for 1,500 MAUs, Pro $187 and Business $374 a month at the same volume, with 25% off for annual billing. A free trial needs no credit card. Source: Product Fruits pricing.

Strengths: onboarding checklists sit next to tours, hints, banners, a newsfeed, a help center, surveys and a feedback widget that accepts screenshots and video.

Limits: Starter allows two onboarding checklists and one language for localization.

6. Chameleon

Who it is for: design-led teams that want checklists and other in-app experiences to match their own UI closely.

Pricing: the Startup plan starts at $279 for 2,000 MTUs. Pro is from $750 a month billed monthly and Growth from $1,250 a month billed annually, each for 5,000 MTUs. A 14-day free trial gives Enterprise-level access. Source: Chameleon pricing.

Strengths: checklists and resource centers are one of its core products, alongside tours, tooltips, microsurveys and embeddables, and Growth adds HelpBar and interactive demos.

Limits: Pro caps you at 20 live in-app experiences, and the Startup plan's billing period is not stated on the pricing page.

7. Fullstory Guides and Surveys

Who it is for: teams already using Fullstory for session replay that want checklists in the same product. Fullstory acquired Usetiful, and Usetiful's platform now powers Fullstory Guides and Surveys.

Pricing: Guides and Surveys is listed as a plan add-on on Fullstory's Business, Advanced and Enterprise plans, with no public price. Source: Fullstory plans and add-ons.

Strengths: checklists define milestones and guide users step by step, and in-app surveys connect each response to the user's session.

Limits: you need a Fullstory plan first, so it is not a standalone checklist tool.

8. Gainsight PX

Who it is for: B2B teams that already run customer success in Gainsight and want onboarding checklists tied to account data.

Pricing: no public prices; Gainsight quotes PX after a demo. Source: Gainsight PX.

Strengths: Gainsight says PX supports editing in-app engagements and onboarding checklists, CSAT and NPS surveys, and SDKs for iOS, Android, React Native and Windows desktop apps.

Limits: checklist limits per plan are not published, and the product is aimed at larger B2B accounts.

9. PLG OS

Who it is for: product-led SaaS teams that want a setup checklist plus gamified tasks from one SDK. Full disclosure: PLG OS is our product.

Pricing: a free tier covers 100 monthly tracked users and one component; Starter is $49 a month (1,000 MTUs, two components) and Growth $149 a month (3,000 MTUs, five components, custom events and segmentation). Source: PLG OS pricing.

Strengths: the Get Started Guide component gives new users a guided setup, and the Quest List turns onboarding tasks into quests with rewards. Both sit in the same SDK as walkthroughs, an onboarding quiz and NPS.

Limits: it is a component library for developers to embed, so a non-technical team needs an engineer for the first install.

Tools we left out

Intercom lists product tours in its Proactive Support Plus add-on ($99 a month for 500 messages), but its pricing page does not mention checklists, so we could not confirm which plan includes them. Frigade, once a developer-first checklist SDK, now sells AI product agents with Growth from $1,000 a month. Pendo has in-app guides on every paid plan, but it does not publish checklist limits. Our list of user onboarding tools covers all three.

How to choose onboarding checklist software

Start with how many checklists you need. If you want one list for every new user, the entry plans of UserGuiding or Product Fruits are enough. If admins, invited teammates and trial accounts each need their own list, pick a tool with unlimited checklists on the plan you can afford, such as Userflow, Userpilot or Appcues.

Then check how tasks complete. A task that ticks when the user clicks it measures nothing. Look for completion rules tied to your own events, and agree on the event names first: our checklist completion event contract is a starting point.

Finally, measure the step after the checklist. A high completion rate can still hide a drop before activation, so track the journey from signup to your activation event in a funnel report, as our guide to funnel analysis tools explains.

FAQs

What is onboarding checklist software?

Onboarding checklist software adds a list of setup tasks inside your product that ticks off as each user completes them. Most tools also link each task to a tour or help article and report completion per task.

Which onboarding checklist tool has unlimited checklists on its entry plan?

Userflow's Essentials plan includes unlimited experiences, checklists among them, from $240 a month billed annually for 1,000 MAUs. Userpilot and Appcues include checklists on every plan, while UserGuiding Starter allows one active checklist and Product Fruits Starter allows two.

Is there free onboarding checklist software?

PLG OS has a free tier with one component for 100 monthly tracked users. Most other tools offer a free trial rather than a free plan, including Userflow, UserGuiding, Product Fruits and Chameleon.

How many tasks should an onboarding checklist have?

Keep it to the few tasks that lead directly to your activation event. Each extra task is another place for a new user to stop, so cut anything that is not needed to reach first value.
